removal of social security numbers
The members of our club are concerned about the security of
our
social security numbers. Is there a way to remove our SS
numbers
from our bivio site??? Elnora Hutchinson, treasurer, Bright
Visions
Investment Club,
Hi Elnora,
There sure is. Just click on the Administration tab at the top. The member roster should be the default. Just click on any member, then click "modify". The social security number is at the bottom in the "Tax ID" section. Just click on that section to delete the number. Do that with all members.

Is this something we should all do? Do we replace them here before tax time or is there a place to do it on the tax form next year?

Only if you are paranoid. I have heard many expressions of fear about SSNOs being vulnerable on bivio's and IClub's servers, but I have never heard of a case where someone had the identity stolen because of that vulnerability.

Kittie, The folks at bivio will tell you that their servers are SO secure, you would never have to worry about it. And they are probably right. But we're just not comfortable so we don't keep ours online. When you do your taxes, bivio generates a PDF K-1 file that lets you fill in the social security number. But I just noticed that it also put it back on the roster! So I just removed them myself. It's probably not a big deal. But I believe in "better safe than sorry."

,

I would be less worried about them being online at bivio where they were entered once by the treasurer and discarded, than in a file at a treasurer’s house J

Ha! You and Rip are both right! I'm a little paranoid, plus, not only do I keep those SS numbers in my club's tax files at my house, but our secretary is the keeper of the member binder with their club applications which ALSO include that number! Now I'm going to be REALLY paranoid! <G>

Lynn,

Just because you're paranoid, doesn't mean they are not out to get you.<g>

I would argue strongly AGAINST removing SSNs from your bivio file. The penalty for failing to include a SSN on a K-1 that is submitted to the IRS is $90/month (or portion of a month) the error is uncorrected TIMES the total number of persons who were partners at any time during the year. For a 10 member club, the minimum penalty is $900. While the penalty can be waived for reasonable cause, paranoia might not be considered reasonable cause.

Ira-
Just to be clear are you saying: if the K-1s that are
bundled with the IRS 1065 filing do not have SSNs listed you
are subject to penalty OR is it the K-1s that are submitted
with the individual filings that don't have SSNs subject to
penalty...or BOTH? Thanks!

There are no K-1s submitted with individual filings. You only transfer numbers from the K-1 to other forms in the 1040 package.

It's the K-1s that are submitted to the IRS with the 1065 that must have the SSNs.
