Accounting Problems
Our Club formed in January '03. We started with Bivio in
May, Lost a member in June, and bought our first stocks at
the end of June. Our problem is this: We were entering
member contributions for the time of Jan - June without
having bought any stock. When we tried to remove a member
in June, his valuation was higher than everyone elses even
though he had only put in one months contribution plus an
initial fee. Also, we wanted to have all of our money
placed into our brokers account, yet have the money
separated into a "Dues" account and a "Brokers" account so
that we would be able to keep administrative costs separate
from money to be used for stock purchases. These numbers
have gotten mixed up somehow and Bivio is showing us as
having a Market value higher than the money we have in the
account. Can we put all accounts down to "0" and attempt to
restart? Or is there another way to figure this out? I've
tried calling Bivio, but get no reply. Thanks for the help.

Your cash accounts on bivio should mirror your actual accounts. This
makes account reconciliation much easier.

There are several reports which can be used to help you reconcile
your books. The most important report is your valuation statement:

https://www.bivio.com/my-club-site/accounting/reports/valuation

Enter the date of your most recent bank and/or broker statement
on your reports page:

https://www.bivio.com/my-club-site/accounting/reports

Make sure the cash balances agree with your bank and/or broker.

To review the transactions for a particular account, you can go
to your Accounting > Accounts page and click on the name of the
account you'd like to reconcile. Make sure the transaction dates
match your statements exactly.

Another useful report is the Transaction History:

https://www.bivio.com/my-club-site/accounting/reports/transaction-history

This lists all transactions during a specified time period. It
might be the account is incorrect. Go to your Account Detail
page and edit the account.
