Best way to mail tax return to IRS or State
Do you have to go to the post office for certified or registered mail? Or is there a way to do it online? our post office is very small and very busy. Almost always a long line.
I can pay for and print the label for a flat rate priority envelope at home and drop it off without going all the way inside.

You want to send it in a way that provides proof of mailing by the due date.

Certified mail, return receipt requested provides both that and confirmation that it was received.

Every year, this proof of timely mailing has been very important to clubs who receive late filing penalty letters that were sent by mistake by the IRS.

Our club was penalized $1435.00 ($205.00 per member) for filing late in 2020. My certified mail with green return card proved that we had mailed it well before the deadline and that it had been received. Penalty removed. Take the time and trouble to have the proof you need to verify your information.

I had to file an extension in 2018. I took over as treasurer and couldn't get the records from the previous treasurer. Since I filed the extension by March 15 I had no issues filing late.

I send the tax forms in certified with a return receipt.

The IRS once told me that you just have to prove that you sent your return in time to avoid a fine for late filing No return receipt necessary.

@Carole Jamison--correct. You do not need a return receipt. But one needs to at least send it certified, so that 1) you have a document that says when it was mailed, and 2) a tracking number so that you can confirm delivery.

Just to be clear - the IRS has specific rules for proving timely filing of documents. There are only certain levels of service provided by USPS and/or Fedex/UPS that meet the IRS requirements. Failure to use an approved method can lead to trouble. While most tax professionals recommend the small added expense of getting the delivery confirmation, you only need the acceptable proof of mailing.

Mail your 1065 Certified and request a green post card returned with a signature from the IRS...this also has tracking...cost is about 9 bucks in a 9 x 12 brown envelope.  You will be able to print off the tracking screen that says delivered, and you will have the returned signed green post card as proof that the IRS received your tax form.  I mailed my club's form last Monday, and the tracking on the computer said it was delivered at the IRS Center yesterday.  I do not yet have my green card back...obviously.

Last week I paid $10.34 for 1st class mail, return receipt, certified mail and mailer (envelope).  Worth every penny to see it go bye-bye!

In the past 3 years the IRS has said twice that we filed our returns late. I used certified mailing, no receipt request. We have machines at our post office (when the machines are working) that dispense the certified mailing documents to go on the envelope. The receipt for the postage and certification includes the tracking number.

I challenged the late filing assertion and won, because I had the tracking number and could send the receipt to the IRS showing that the document was mailed in a timely manner. No need to pay for a return receipt to "certify" that it was received. All you need is the certification of when it was mailed.

Robert,

Certificate of Mailing is not one of the methods approved by the IRS to set the date of mailing as proof of filing should the package get lost. You must use one of the approved methods to insure that the date you mail the return will be accepted by the IRS as proof of filing.
