When should a withdrawing member be removed from bivo access/email

We have members make a full withdraw from our Investment club and I was wondering at what time do we remove them from Bivio email and access to our Bivio account. Or is there a way they they will only have access to retrieve their K1 Document.

I tell withdrawing members that they will still be on bivio until after April 15th following their withdrawal so they have access to their K-1s

When you delete them from your roster you are asked "Do you want to allow this member to continue to have access to your club to view their records and access their tax forms?" Select "yes". They are then off your roster and do not receive emails anymore but they can still log in and get their info.

The process John described was not quite right:
1. You never delete old member records. They are still an important part of your current accounting.
2. When you enter a withdrawal, as he noted, you are asked "Do you want to allow this member to continue to have access to your club to view their records and access their tax forms?"
If you select yes, they remain as an online member of your club and can login and view information and download their own tax forms. They also are still active on your club email list and will receive and can send emails to the club.
Even though they have online access to your club, their account in the club has been closed by the entry of their full withdrawal.
3. When you want to close off their online access also, you do this:
A. Go to Accounting>Members B. Click on their name C. Click on the Withdraw button
That will close off their online access also and make their listing inactive. Their records will not be gone but tey will no longer show on any of your member lists unless you have selected to "Show withdrawn Members" at the bottom of the Accounting>Members page.

When I wanted the withdrawn members to stop receiving notifications and closed access I selected "Offline" vs "Delete". Does this work or did I misinterpret this function?

That would take them offline so they wouldn't get email messages and couldn't login.
I'm not sure if it would also set their status as withdrawn if you had entered a withdrawal for them. If not, they would still show up on member listings. If they did, you'd just need to follow the instructions I sent earlier.
You can see if their status is set to withdrawn on the Administration>Roster page.
