How do your clubs handle voting to buy or sell a stock between meeting?

We adopted electronic motions/voting several years ago and have had good
luck using it.
- All items (motions, seconds, discussion) must be done via a designed
system
- Motions are not valid unless seconded and then restated by an officer
- Majority is the same as defined in ByLaws for regular meetings
- Any motion not decided by the start of the next regular meeting is deemed
expired.
- We have also adopted that message that propose a motion be titled MOTION:

We do not buy or sell between meetings.
The reason is there often is too much to discuss and we are principally a buy and hold club.

We specified that Bivio's messaging has to be used. That keeps someone from having a separate distribution list that might miss someone. We have done several stock trades using this, but not too frequently. Maybe 2 to 3 times per year. Sometimes it might be that we want some additional information in a meeting before making a purchase. Once that is distributed, we may vote outside the regular meeting.

Jimmy Dickerson: By saying "Bivio's messaging" are you referring to the tabs "Communication" and "Mail," or is there something that Bivio offers (that I'm not aware of)? I agree that using Communication/Mail is the better way to email club partners than regular email, but didn't know if I was missing another tool.

Our partnership agreement does permit this. We actually use it fairly consistently. An electronic record is required though. A majority of partners still must vote for the purchase or sell, usually thru email. The emails are all directed to our Treasurer or President (both have access the brokerage account to enter the trade).
Copies of these emails are included with the following month meeting minutes. Once the minutes are authorized with attached voting documents, they are disseminated to each partner electronically & uploaded to our files area as a permanent record.

We just did it via email. It worked just fine!!!!
Another option is FaceTime - up to 30 people (might get a little crazy - definitely would need a moderator to call roll, etc).

Another option is FaceTime - up to 30 people (might get a little crazy - definitely would need a moderator to call roll, etc).

If you use your club email list, each email automatically goes to each member of the club. When they reply, their replies also go to everyone in the club.
The problem with a group list on regular email is that people forget to "Reply All" when they reply and then the email response doesn't get to everyone.
